Problem Statement

The need for report writing skills is essential for every organization.
As psychologists say, “A person’s writing reflects their inner and outer thoughts and is a projection of their personality.”
Organizations must be able to document their activities, analyze events and issues logically and sequentially, and communicate clearly with various audiences. A well-written report helps convey the organization’s vision and goals effectively.
Report writing allows for the classification of information and helps achieve objectives in the shortest time using the simplest language.

Mission of Simaye Sabz Rahayi Harm Reduction Institute

The institute aims to reduce harms related to addiction, HIV/AIDS, and high-risk behaviors, thereby improving public health and enhancing hope for life. Its national activities are based on education, cultural development, support, and empowerment.
We believe that living in a healthy environment is a natural right for all, and those affected by social harms should receive services without discrimination.

 

Program Objective

Historically, humanity has struggled to document events clearly. Weak reporting has strained relationships between employees and managers, teachers and students, and governments and citizens.
This workshop was designed to teach participants how to write clear and effective reports.
An 8-hour session was held in the amphitheater of the Welfare Organization’s headquarters in Eslamshahr.

 

Participant Introduction

At the beginning of the session, the workshop instructor (Ms. Azimi) used a creative method to help participants get to know each other. Each person wrote a short report about another participant based on personal information, then read it aloud to introduce them. This engaging activity helped participants begin learning report writing from the start.

Overview

After introductions, the instructor explained the definition and types of reports (written and oral). Participants were given worksheets to write their expectations from the workshop, which were then collected and displayed on a board.

Group Work

Participants were divided into groups to begin the first step of report writing by selecting a topic. Each group outlined the dimensions of their topic and posted their framework on the wall.
In the second step, groups wrote their implementation plans on large sheets and displayed them.
In the third step, each group described their target audience in detail.
A representative from each group then presented their topic to the other groups.

 

Refreshments

Participants were served snacks (juice, sweets, fruit), lunch, and tea throughout the workshop.

 

Theoretical Training

At 2:00 PM, the theoretical session began. Using a PowerPoint presentation, the instructor covered:

– Key elements of a report
– Characteristics of each element
– Report structure
– The three-part process: event, report, audience
– Supporting documentation
– Writing techniques
– Audience analysis
– Report formatting
– Headings and editing

 

Speech by the Head of Welfare Organization – Eslamshahr

During the theoretical session, Mr. Karimpour (Head of the Welfare Organization of Eslamshahr), Ms. Rasouli (Deputy of Prevention), and Mr. Bahrami (Director of Simaye Sabz Rahayi) attended.
Mr. Karimpour thanked the participants and emphasized the importance of such workshops for all types of organizations. He expressed appreciation to the institute for organizing the event.

 

Workshop Conclusion

At the end, participants were asked to write a short report about the workshop to assess their learning. Evaluation forms were distributed and collected. The workshop concluded with a group photo.
